Housing Reservations
Because of the popularity of certain properties in the 2026 AAAAI Annual Meeting hotel block, delegates are encouraged to make their hotel reservations at the earliest possible date. Rooms will be reserved on a strict first-come, first-served basis. All delegate hotel reservations must be made no later than February 4, 2026. Convention Management Resources (CMR) and International Group Housing (IGH) are the only authorized vendors for housing at the 2026 AAAAI Annual Meeting. Booking through CMR via the Annual Meeting website or through IGH via the International Group Housing website is the preferred method of securing hotel reservations. Please see our housing alert for more information.
Confirmations
If you book your hotel reservation online through the Annual Meeting website, you will receive a confirmation via email immediately upon completion. This email will include the only confirmation number you will need. Your hotel will not issue a confirmation of your reservation.
Changes and Cancellations
All changes or cancellations to existing delegate hotel reservations must be made by contacting CMR by Wednesday, February 4, 2026; do not contact the AAAAI or the hotel. After February 4, 2026, changes to your existing reservation are subject to hotel availability and cancellations may be subject to a loss of one night’s room and tax. Beginning Friday, February 20, 2026, please contact the hotel directly for changes and cancellations.
Deposit
Each delegate hotel reservation must be guaranteed with a one night’s room and tax deposit by credit card (American Express, Discover, MasterCard or Visa) or check. Should you wish to pay the deposit via check, please contact CMR in advance to confirm the amount due. Checks should be made out to Convention Management Resources in U.S. funds, drawn on a U.S. bank and include the ABA encryption code. Credit card information will be forwarded to the hotel on February 4, 2026 and the hotel may charge a deposit of one night’s room and tax to your credit card on/after that date.
Guaranteed Payment Policy
Once the hotel reservation is made and confirmed through CMR, the Annual Meeting hotels may hold delegates individually responsible for all charges that accrue for the use or non-use of that reservation. For this reason, please be sure to have any necessary changes or cancellations to your reservation made by February 4, 2026. Delegates who fail to arrive on their scheduled arrival date or depart before their scheduled departure date, may be charged for all nights of their confirmed reservation whether they actually utilized the hotel room or not. Major credit card companies including Visa and MasterCard allow hotels to collect charges if they can demonstrate that you were made aware of this policy. In light of this, please be sure your confirmed hotel reservation matches your itinerary.
