Housing Reservations
Because of the popularity of certain properties in the 2017 Annual Meeting hotel block, delegates are encouraged to make their hotel reservations at the earliest possible date. Rooms will be reserved on a strict first-come, first-served basis. All delegate hotel reservations must be made no later than February 8, 2017. After this date, the AAAAI cannot guarantee any delegate a room in any of the designated 2017 Annual Meeting hotels.

If you book your hotel reservation online, you will receive a confirmation via email immediately upon completion. If you submit a housing request form, a confirmation of your hotel reservation will be sent to you by CMR within 24 hours of receipt of your housing form. These confirmations will be issued by CMR and will contain a CMR confirmation number. This is the only confirmation number you will need. Your hotel will not issue a confirmation of your reservation.

Changes and Cancellations
All changes or cancellations to existing delegate hotel reservations must be made no later than February 8, 2017. CMR must be notified of all changes or cancellations to your hotel reservation. Do not contact the AAAAI. Deposits will only be refunded for cancellations made with CMR before February 8. After that date, no changes or cancellations will be accepted and no deposits will be refunded for any delegate reservations.

Each delegate hotel reservation must be guaranteed with a one night’s room and tax deposit by credit card (American Express, Discover, MasterCard or Visa) or check. Checks should be made out to Convention Management Resources in U.S. funds, drawn on a U.S. bank and include the ABA encryption code. Credit card information will be forwarded to the hotel for possible deposit pre-charging at their discretion.

Guaranteed Payment Policy
When the hotel reservation is made and confirmed through CMR, the 2017 Annual Meeting hotels may hold delegates individually responsible for all charges that accrue for the use or non-use of that reservation. For this reason, please be sure to have any necessary changes or cancellations to your reservation made by February 8, 2017. Delegates who fail to arrive on their scheduled arrival date or depart before their scheduled departure date, may be charged for all nights of their confirmed reservation whether they actually utilized the hotel room or not. Such major credit card companies as Visa and MasterCard will allow hotels to collect charges if they can demonstrate that you were made aware of the policy. In light of this, please be sure your confirmed hotel reservation matches your itinerary.
